Get started with a productivity template

You can use many methodologies to stay organized and productive. We don't prescribe or recommend any particular system. Instead, we've made Toodledo flexible enough to work with any methodology that you choose or invent.

We’ve written about several common methods our community uses. We recommend starting here to understand the underlying principles before choosing a template.

We've created recommended settings presets for common productivity systems. This is a convenience for our users and does not lock you into any system. You can always modify your account settings at any time.

Organize your way with the task fields you want

Toodledo can show you as much or as little detail on your tasks as you need.

If you're the type of person who likes to organize everything about your life, boy do we have the tool for you. Categorize everything with seventeen different fields to categorize, label, and organize to your heart’s content in only three steps:

  1. Go to your Fields / Functions Used in your Account Settings
  2. Check the Fields you want to show and uncheck the ones you don’t
  3. Hit Save Changes.

You can add as many or as few categories to work with your productivity method. We’d suggest less is more, but you know you best. Here’s what each of these do:

  • Folders. Use with tasks and subtasks (premium feature) for heirarchical organization
  • Context. Defines what you need to be able to carry out the task; great for saved searches for “@Home” or “@Office”
  • Goal. A longer-term organizing principle
  • Start date. Allows you to assign two dates to a task. Works great with filters and prioritization to hide tasks that you don’t need to worry about now out of sight
  • Start time. Combine with alarms so you get a reminder when you need to focus on a task
  • Due date. Automatically used in Hotlist and our Importance prioritization
  • Due time. Get finer views on when a task is due
  • Repeat. See which tasks are automatically recurring
  • Length. Estimate how long you expect a task to take to help with your prioritization
  • Timer. Use with "Length" column to keep track of time spent on a task. Great for billing clients, filling out time cards or for your own information.
  • Priority. Assign and sort tasks with five levels: Negative, Low, Medium, High, and Top.
  • Tag. Add keywords or phrases to help describe the task.
  • Status. Mark tasks that are active, or that have been deferred for a variety of reasons
  • Star. An on/off image next to the checkbox that you can use however you want.
  • Location. Allows you to visually see where your tasks are located on a map.
  • Assignor. See who assigned a given task to you.
  • Trashcan. Quickly delete tasks without having to go into the Action Menu.

Set new task defaults

One of the best things you can do to upgrade your productivity is to separate creating tasks and categorizing tasks.

It’s important to get tasks out of your head as they come up, and organize them at your convenience.

One of the best ways to organize your to do list is to set the task defaults for any new task. One way we do this at the office is by having an “Inbox” folder and due date “Tomorrow” so that we can process tasks easily every morning when we get to the desk.

Simply go to New Task Defaults under your Account Settings choose your selections, then hit Save changes.

Save your common searches for easy access

Many to-do apps claim ‘manage your tasks your way’. Toodledo is one of the very few that actually deliver this because of saved searches.
